Privacy Policy

TrackPro provides fleet management software and connected hardware that help businesses track vehicles, assets, and driver activity. This policy explains what personal data we collect, why we collect it, who we share it with, and the choices you have. It applies to our website, web and mobile applications, and TrackPro devices installed in customer vehicles.
If you are a driver whose employer uses TrackPro, your employer is the data controller for the fleet data collected about you. We process that data on their instructions. Questions about how your organization uses TrackPro should go to your fleet administrator first.
1. Data we collect
We collect four broad categories of data:
- Account data. Name, work email, phone number, company name, role, and billing details when you create an account, request a demo, or purchase a subscription.
- Telematics and location data. TrackPro devices report vehicle location, speed, heading, ignition status, engine diagnostics, and sensor readings. Location refreshes as frequently as every 5 seconds while a vehicle is in motion.
- Usage data. How you interact with our dashboard and apps — pages viewed, features used, device and browser type, and IP address — collected through logs and cookies.
- Support data. The contents of emails, chat messages, and call notes when you contact our support team.
2. How we use your data
- Deliver the service: render live maps, trigger alerts, generate reports, and sync data across your fleet.
- Operate and improve the platform: monitor performance, debug issues, and develop new features.
- Communicate with you: service notices, security alerts, billing, and — with your consent where required — product updates.
- Protect TrackPro and our customers: detect fraud, abuse, and unauthorized access.
- Comply with legal obligations, including tax, accounting, and lawful requests from authorities.
3. Legal bases for processing
Where the GDPR or similar laws apply, we process personal data on these bases: performance of a contract (delivering the service you signed up for), legitimate interests (securing and improving the platform), consent (marketing communications and non-essential cookies), and legal obligation (records we must keep by law). Where consent is the basis, you can withdraw it at any time without affecting prior processing.
4. Sharing and subprocessors
We never sell personal data, and we never share fleet location data with advertisers or data brokers. We share data only with:
- Subprocessors that help us run the service — cloud hosting, payment processing, email delivery, and analytics providers — each bound by a data processing agreement.
- Your organization: fleet administrators can see the vehicle and driver data their account collects.
- Authorities, when required by a valid legal order. We review every request and narrow it where we can.
- A successor entity in the event of a merger or acquisition, under the same protections as this policy.
5. Data retention
We retain account data for the life of your subscription and up to 90 days after termination so you can export it. Telematics history is retained per your plan — 90 days on standard plans, with extended retention available on Enterprise — after which it is deleted or irreversibly aggregated. Billing records are kept as long as tax law requires. You can request earlier deletion at any time.
6. Security
All data is encrypted with AES-256 at rest and TLS in transit. TrackPro maintains SOC 2-aligned controls (a Type II audit is in progress), role-based access controls, and 24/7 infrastructure monitoring against a 99.9% uptime target. Read more on our Security page. No system is perfectly secure, so we also maintain an incident response plan and will notify affected customers of any breach as required by law.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal data, and to object to or restrict certain processing. These rights are provided under the EU/UK GDPR, India's Digital Personal Data Protection Act (DPDP), and similar laws elsewhere. To exercise them, email privacy@trackpro.live — we respond within 30 days. If you are a driver on a customer fleet, we may redirect your request to your employer as the controller. You also have the right to complain to your local data protection authority.
8. Children
TrackPro is a business product. We do not knowingly collect personal data from anyone under 18, and our service is not directed at children. If you believe a child has provided us data, contact us and we will delete it.
9. Changes to this policy
We may update this policy as our service or the law evolves. For material changes we will notify account owners by email and post a notice in the dashboard at least 14 days before the change takes effect. The "Last updated" date above always reflects the current version.
