Six questions to ask any vendor

Take these into every sales call — including ours. A vendor worth signing with will answer all six in writing without flinching.

What is the total 3-year cost, including hardware?

Per-vehicle software rates are only part of the picture. Ask for an all-in number covering hardware, activation, shipping, and any per-module fees — then compare totals, not monthly rates.

What are the early-termination terms?

If you sell trucks, downsize, or simply want out, what do you owe? Get the cancellation clause, notice window, and any hardware-return obligations in writing before you sign.

What format can I export my data in?

Your location history, driver records, and reports should leave with you. Ask whether exports are self-serve, what formats are supported (CSV, API), and whether exporting costs extra.

How do roadside ELD data transfers work?

During an inspection, how does the driver transmit logs — web services, email, or display-only? Ask the vendor to walk you through the exact roadside flow your drivers would follow.

How long is camera footage retained?

Retention windows vary widely. Ask how long footage is stored, who can access it, whether retrieval is self-serve, and what happens to footage when your contract ends.

What are the API rate limits?

If you plan to integrate with dispatch, payroll, or BI tools, ask whether API access is included in your tier, what the rate limits are, and whether webhooks are supported.
